How to set owner-approval thresholds that protect both response time and capex.
Most owners default to one of two extremes: every work order requires approval (slow + expensive) or none do (uncontrolled). The middle is where stewardship lives.
A working threshold structure
- Under $250 — manager-approved with photo log.
- $250–$1,000 — manager-approved with notification + receipt.
- $1,000–$3,000 — owner notified, 24-hour decision window unless emergency.
- $3,000+ — owner approval required, two bids preferred.
- Emergencies (life-safety, water, electrical) — manager acts immediately, notifies owner same day.
